UPDATING CLIENT EXPERIENCE + DUBSADO WORKFLOWS
I loved working with Sophie to use Dubsado to it's full potential and to create an on-brand experience!
Sophie is a coach who helps her introverted clients build their businesses from a place of self-trust and self belief. Sophie felt that her client on-boarding process felt very disjointed and required her to do everything manually.
Although she was already using Dubsado for her coaching business, she wasn't using all of it's features to it's full potential! She also wanted to create an on-boarding experience that felt similar to her coaching sessions - spacious, calming, relaxed, supportive, dotted with little moments of joy!
Sophie's main goal was for her workflows to go from feeling a bit all over the place, clunky and chaotic, to feeling more intentional and to automate as much of her booking and on-boarding process (or welcome ritual as I like to call it).
Sophie has a really fun, vibrant and playful brand - which wasn't really reflected in her process and so we wanted to make sure that we infused her incredible brand personality into every client form, email and proposal to create a signature experience for her clients.
We started by outlining three main workflows - her inquiry, booking and welcome workflows. Not only did we improve her back-end systems, but we also focused on ways we could make her clients feel what it would be like to work with her, while also preparing them for their first coaching session - setting clear expectations and boundaries right from the start.

From the moment a potential client gets in touch they will get a taste of what it would feel like to have Sophie as their coach. Every touch point has been carefully designed to help her potential clients feel relaxed and supported (with a playful twist).
We created automatic follow-ups and a "getting to know you" questionnaire so Sophie can continue to build trust with new leads.
I re-designed her client proposal, questionnaires and guided her on how to create canned emails infused with her brand personality.
We used Video at various stages of her booking & on-boarding process to create a very thoughtful & personalised experience.
We slowed down her welcome ritual, making the on-boarding process feel less overwhelming for her clients & gently prepared them for their first coaching session.
And finally I made sure that most of her workflow was automated, allowing Sophie to book and onboard clients with a few touches of a button. Freeing up her time to focus on her coaching sessions.
